Marketing and Constituent Services CoordinatorMid-America Arts AllianceJob DescriptionPosted: 07/23/14 Mid-America Arts Alliance (M-AAA) seeks a Marketing and Constituent Services Coordinator with a highly successful track record of providing superior customer service and coordinating logistics for our two national traveling exhibition programs, ExhibitsUSA and NEH on the Road. The successful candidate will provide support in order to implement initiatives to attain and retain constituent relationships, exceed revenue and marketing goals, and advance the programs within the vision and strategic plan of Mid-America Arts Alliance. Mid-America Arts Alliance is the regional arts organization of Arkansas, Kansas, Missouri, Nebraska, Oklahoma and Texas. Our mission is to strengthen communities and improve lives through extraordinary cultural experiences. Each year, M-AAA consistently delivers extraordinary experiences to an average of one million children and adults across our region and beyond. We are especially committed to enlivening the cultural life of our underserved communities that lack the resources to provide cultural programs and services to their constituents. Mid-America Arts Alliance activities are delivered through our three program areas. Our Arts and Humanities programs provide high-quality, accessible arts and culture experiences across the United States. Our Professional Development programs train and support arts and art professionals to increase their knowledge and skills in the arts. Our Grant Making programs provide direct funding to artists and arts organizations for the creation and presentation of the arts. Primary Responsibilities: - Manage strong relationships with new and existing constituent relations throughout the lifecycle of an exhibition booking. o Initiate bookings and coordinate logistics for exhibitions on tour, including customer support and relationship management. o Lead peripheral disbursement and manage exhibition material inventory and archives. o Travel extensively throughout the region and nationally to conduct site visits and convenings; participate in local, regional, and national conferences; and serve as the primary external contact for M-AAA's traveling exhibition programs. o Assist in organizing and facilitating focus groups on a regular basis to conduct market research and program analysis. o Contribute to the planning, research and implementation of strategic marketing practices for marketing of program divisions. o Communicate the needs and priorities of constituents to the Marketing and Constituent Services Manager and Program and M-AAA leadership team. - Create and implement life cycle of service plan for clients, from initial contract through final evaluation by researching, identifying and implementing improved methods of service to constituents. o Distribute interest packets about traveling exhibitions to constituents o Coordinate exhibition contracting and final evaluation process. o Oversee EUSA and NEH website exhibition content edits and tour schedules. o Send tool kits with programming guides, registrar's packet, press kit and other ancillary items to constituents to ensure a successful hosting experience. o Provide accurate data entry and maintain complete information on constituents, generate client contracts, input final evaluations and monitor accuracy of constituent database. Maintain exhibition-tracking system to ensure uniformity of data collection and reporting as well as the client database. o Coordinate exhibition contracting and final evaluation process. - Facilitate to the day-to-day operations of the constituent services function, in keeping with M-AAA's organizational goals. o Monitor the annual exhibition marketing and constituent services budget and make necessary decisions to meet or exceed budget. o With the Director of Marketing and Communications, Director of Arts and Humanities Programming, Marketing and Constituent Services Manager and other staff, develop and recommend pricing strategies to produce the highest possible booking rates for M-AAA traveling exhibitions. o With the Director of Arts and Humanities Programming and senior staff, assist with the creation and implementation of the ExhibitsUSA Advisory Panel and related activities. Job Requirements: This position requires a focused, energized, entrepreneurial, and self-motivated individual interested in advancing our goal of providing more art for more people. The successful candidate will have a demonstrated mix of the following: ? Proven track record of successfully creating and implementing effective marketing and communications strategies to advance the organizational mission and programmatic objectives. ? Ability to identify and cultivate leads to gain commitments tied to revenue generation. ? Three to five years of progressive responsibility in marketing, arts administration, communications, or public relations efforts. ? Ability to work effectively with a wide range of constituents in a diverse field. ? Strong interpersonal and organizational skills. ? Excellent written and verbal communication abilities in addition to solid presentation and listening abilities. ? Demonstrated ability to manage multiple priorities and deadlines; ability to work across departments in a fast-paced environment. ? Bachelor's degree in Marketing, Arts Administration, Nonprofit Leadership, Communications, Public Relations, or a related discipline. ? Experience with web-based content management systems, Microsoft Office Suite, Mac and customer relationship management databases. ? Nonprofit marketing experience, particularly in the arts, is ideal. Working Conditions: Work requires both sedentary and light physical activity including sitting at a desk using a computer, phone, and other office equipment as well as walking, moving, and driving to various locations. Overnight travel will be required periodically.
